Terms & Conditions + Cancellation Policy

PLEASE READ THE FOLLOWING TERMS AND CONDITIONS OF USE CAREFULLY BEFORE USING THIS WEBSITE.

All users of this site agree that access to and use of this site are subject to the following terms and conditions and other applicable law. If you do not agree to these terms and conditions, please do not use this site.

Santosha Yoga Institute runs under the business trademark of Santosha Yoga Experiences. PT Yoga Guru is contracted by Santosha Yoga Experiences to run our courses and retreats in Bali.

Santosha Yoga Experiences and PT Yoga Guru will be referred to as Santosha Yoga Institute within these terms and conditions. 

It is your responsibility to read and understand our terms and conditions and cancellation policy before booking a course with us. 

Payment and Banking Information

Early Bird rate 

• The early bird pricing expires 30 days before the course begins. To be eligible for the early bird discount the payment plan has to be started or the full course balance has to be settled prior to this deadline. If at least one payment plan payment is not made prior to the deadline then the regular full pricing applies. If you have only paid your deposit, you also have the option to pay the remaining balance or to start a payment plan with us 30 calendar days prior to your course beginning to still get access to the early bird rate.

Payment Options

• We accept payment by Credit Card (MC/Visa), PayPal or bank transfer. 
• For Direct bank deposits- please see full details below. 
• PayPal- Please email us first at [email protected] before making a payment and we will send you a payment request/invoice..
• Any additional bank transaction charges, credit card charges, transfer or foreign exchange fees, are your responsibility.

Bank Transfers

• Please ensure your name is clearly marked on the deposit description so that Santosha can track this, in some cases you may need to request that your bank place your name on the deposit – it is also your responsibility to email Santosha at [email protected] to inform us what course you would like to join so that we can allocate the funds accordingly. 

Santosha’s Banking Information

• You can pay into the bank account detailed below, using a bank transfer from your account or an online site such as Transferwise/Wise (this gives you low fees and exchange rates on international bank transfers). Any additional bank transaction charges, such as transfer or foreign exchange fees, are your responsibility.
• Make sure you give a payment reference of the Course that the payment is for (eg. 200 Online, Bali Jan 23, Byron Sep 22)
• Please email us after making payment so we know you are joining us and tell us which course you are joining – then we can find this payment in our banking and add you to the course. We have students from all over the world so we appreciate an email  to Santosha at [email protected] to inform us of your bank transfer so we can trace it and allocate it accordingly.

– As we have students joining us from all over the world, we ask you to kindly ensure that  all bank fees and charges for your transfer are covered in your deposit, including international transfer charges. Please check with your bank or Transfer service prior to payment. 

Payment Plans 

If you choose to pay by a monthly payment plan, this is a credit agreement between you and Santosha Yoga Institute. 

Accordingly:

• You agree to pay Santosha Yoga Institute the required amount in full for your Yoga Teacher Training Course.
•  You understand that you will not graduate or receive your YTT certificate until the balance of your course has been paid in full. 
• You agree and consent to Santosha Yoga Institute charging your debit or credit card with the amount agreed for the given YTT until the balance has been paid in full. 
• You agree to ensure that the necessary funds are available in the specified account to be charged each month. 
• You understand that should the payment be declined, Santosha will start to charge an admin fee of $100 AUD each time this occurs. 
• You understand that your access to your course materials could be revoked until your remaining payments towards your final balance resume or any outstanding payments are settled. 
• If the Payment Plan option available on the website is not appropriate for your budget, please email [email protected] and we will try to set up a payment plan that is appropriate for you.

“Upgrade to paradise offer for free offer” 

This offer is only valid for those who purchased the Online RYT-200 YTT from us between May-November 2020. This offer expired for those eligible on December 31st, 2023.

Current Offers 

“Upgrade to an In-Person Course”

For those that have purchased the online 200hr or 300hr course (after 1st November 2020) who would like to experience the “in person” journey- you can upgrade to join us in Byron Bay or Bali for one of our RYT-200 or RYT-300hr Yoga Teacher Trainings. You only need to pay the difference in cost between the online and in-person courses.  This offer applies up to a maximum of 3 years (36 months) after purchasing your online RYT-200 hr or 300hr course with Santosha. There is no additional admin fee charged for this upgrade offer.

Non-Refundable Deposits 

• A $499 AUD non-refundable deposit and administration fee is payable upon application for all courses.
• Santosha Yoga Institute Pty Ltd cannot hold a place on any course or retreat without receiving at the minimum your (non-refundable) deposit of $499 AUD.
• The deposit is deducted from the total cost of the course. This is non-refundable but is fully transferable to any other course – or to another person- for up to 24 months from the date of purchase. We understand that life happens and if you cannot attend a YTT within the 24 months for extenuating circumstances, please email our staff at [email protected] and we will do our best to support you.
• The deposit only holds your place on the course- you need to have started a payment plan or paid in full for your course in order to have access to any of the course content.
• Please note that some prices are subject to GST (Australian Goods and Services Tax).

Payment deadline for all In-person Courses 

• The deadline for final payments at the regular price for those that have held their places with deposits is 30 calendar days prior to the course starting. After this date we cannot guarantee that your place will be held as we are usually fully booked.
• If you pay with a Credit Card for the deposit of a Yoga Teacher Training, other courses or any special event, Santosha will charge the remaining balance due to that credit card provided, 30 calendar days before the start of the Yoga Teacher Training (YTT), other courses or any special event, unless you set up another form of payment. If you want to pay with an alternate Credit Card, or payment method this MUST be done more than 30 calendar days prior to the start of the course or retreat. Please email: [email protected] to arrange this.
• If your credit card payment fails and we are not informed of your alternative payment method prior to 30 days before your course starts we will also need to charge an additional admin fee of  $100 AUD for the additional work required to process this. 
• As outlined above, if you want to benefit from the early bird rate you must request for your credit/card to be charged the remaining balance 45 calendar days before the course starts.  

Payment deadline for Online 200hr and 300hr courses 

• The deadline for final payments at the regular price for those that have held their places with deposits is 14 calendar days prior to the course starting. After this date we cannot guarantee that your place will be held as we are usually fully booked.
• If you pay with a Credit Card for the deposit of a Yoga Teacher Training, other courses or any special event, Santosha will charge the remaining balance due to that credit card provided, 14 calendar days before the start of the Yoga Teacher Training (YTT), other courses or any special event, unless you set up another form of payment. If you want to pay with an alternate Credit Card, or payment method this MUST be done more than 14 calendar days prior to the start of the course or retreat. If your credit card payment fails and we are not informed of your alternative payment method prior to14 days before your course starts we will also need to charge an additional admin fee of  $100 AUD for the work required to process this.  As outlined above, if you want to benefit from the early bird rate you must request for your credit/card to be charged the remaining balance 45 calendar days before the course starts.  

• If the Payment Plan option available on the website is not appropriate for your budget, please email [email protected] and we will try to set up a payment plan that is appropriate for you.
  
• Santosha Yoga Institute Pty Ltd cannot hold a place on any course or retreat without receiving at the minimum your (non-refundable) deposit of $499 AUD.

Cancellations and Refund Policy 

In person courses cancellation policy: 

• You may request a refund of course fees up to 40 days before the course starts – minus the deposit of $499 AUD. 
• Please allow 7-21 working days for processing of your refund.
• Please note that If you choose to cancel your in-person course from 40 days or more before the start of your course- but have already had access to the online component of the course or attended any live classes  there is no refund given up to the value of the online version of your course. However, you can choose to transfer to the online 200hr course or 300hr course (as appropriate) and we will refund the difference in the price with the in-person course that you were originally enrolled on (minus an additional admin fee of $100 AUD).
• If you choose to cancel your participation on a course between 39-0 days before your course starts, the course fees become non-refundable. However, they are fully transferable to any future in-person or online course within 24 months (minus an additional admin fee of $100 AUD).
• You might be able to claim on your travel insurance policy (see below) if you are forced to cancel your course attendance and travel for reasons beyond your control.  
• It is the students’ responsibility to check all COVID-19 entry requirements for your nationality and travel route for both immigration and your airlines. Santosha will not provide refunds when a student is denied entry to a country where our YTT is hosted for any reason. A student may be able to claim on their travel insurance for incidents such as these. The course fees become non-refundable after  40 days, however, they are fully transferable to any future in-person or online course within 24 months (minus an additional admin fee of $100 AUD).

Travel Insurance

• For international travel to our courses/retreats, it is mandatory that all students acquire comprehensive travel insurance to cover any situation that may arise, such as a need to change or cancel your travel arrangements; sickness;  medical accidents: loss of luggage etc  or a need to return home due to a family matter, etc.)
•  It is your responsibility to read and understand our cancellation policy before making a reservation. Naturally, no one books with the intention of cancelling or postponing their retreat or YTT, or expecting to need healthcare while abroad, however, unexpected things do happen that can be beyond your control. We therefore require  that you purchase travel insurance to cover any possible eventuality that may occur during your trip – with comprehensive healthcare cover as well as cover for a loss in course fees should you need to curtail or cancel your trip. Depending on the policy and conditions, travel cancellation insurance will pay for some or all course cancellation fees. 

Alternate venue for in-person courses: 

Santosha reserves the right to hold any course, event or retreat at an alternate venue if required to maintain or improve the standard of accommodation or facilities offered. We will notify customers as soon as possible if a change in venue should occur. No refunds or transfer to another event date if accommodation was included in the venue . – if no accommodation was included then you can most certainly transfer to any other course or another person .

Cancellation and Refund policy for Online Courses

• For all of our online courses, then you may request a refund of your course fees (minus the non-refundable deposit of $499 and admin fee of $100) before accessing the online course materials, after you have accessed the online course materials the course fees become non-refundable.
• For the live online 200hr course your course fees are fully transferrable to a future online 200hr course and you have lifetime access to all recorded and live course materials.

Cancellation of any event or course by Santosha:

If Santosha Yoga must cancel or postpone a scheduled retreat or teacher training date for any reason, we will notify you as soon as possible and you may transfer your full payment to another retreat or training. Except in cases of Force Majeure (see below), you may request a refund of your payments to us, constituting a full settlement including your deposit. Santosha Yoga is not responsible for your expenses incurred in preparation for any cancelled or postponed retreat or training, such as airline tickets, loss of work, visas fees and/or other costs associated with preparation for your trip.

Force Majeure: 

Santosha is not liable for non-performance caused by events or conditions beyond its control. This provision does not relieve the Customer of its obligation to fulfil payment obligations. Santosha shall not be liable for any need to delay or cancel any course or retreat, when certain circumstances beyond our control arise, making holding the event or course inadvisable, commercially impracticable, illegal, or impossible. These include but are not limited to work stoppages, fires, civil disobedience, riots, rebellions, natural disasters, acts of God, acts of war or terrorism, actions or decrees of governmental bodies, disease or medical epidemics, pandemic or outbreaks, curtailment of transportation facilities preventing or delaying attendance by at least twenty-five percent of event participants, and similar occurrences. If Santosha’s ability to hold an event has been so affected in the ways described above, we will promptly give you written notice via email and use our best efforts to resume the event/course. Upon receipt of such notice, all obligations to hold the event or course shall be immediately suspended for the duration of such Force Majeure Event.  Santosha will offer a credit / transfer of payments made to a future event within 24 months after the cessation of the Force Majeure event. Again, we strongly recommend purchasing travel cancellation insurance to cover such occurrences as we cannot make exceptions to these policies.

Student Agreements in regard to completing a YTT.

Attendance / Flexibility of Course attendance / YTT Certificates

• 100% attendance is required at each YTT.  Obviously, anyone could become ill or need to depart early due to family/health or for any other reason. We will support you to make up any missed hours to attain your necessary attendance through a combination of Online YTT, live online classes or you can transfer to another in-person YTT course.  We want you to complete the course and will support you to do this by taking the above necessary steps. However, we cannot refund you for any part of the course that you have missed. 
• You have the option to partake in the course as you can – that is if you need to take time off, we can arrange this so you can make up the hours.
• Each student can attend 100 % of a YTT in parts also, i.e., attending one week in Bali – two weeks in Byron, one week Online or in whatever appropriate combination for yourself. Of course, the same applies for attending 100 %. 
• Certificates will only be provided to students who have satisfied all criteria for the course; that have completed their assessments and paid all course fees in full.
• It is recommended that you make printed copies of your PDF certificate upon completion of the course and keep the master copy safe. Should you lose your certificate and need a replacement, please contact [email protected] and we will email you a print-ready PDF there will be an admin charge of $55 AUD for this.

Accommodation Guide Options

• Accommodation choices are the student’s responsibility and decision. All of our Accommodation sites in the Accommodation Guide are independent of Santosha we merely provide options that we feel are of a good standard and location in relation to the course.
• If you have any concerns about the accommodations, please talk to the accommodation vendor directly so the situation can be rectified as soon as possible.
• It is the student’s responsibility to be aware of all choices regarding accommodation, meals, and transport.
• Santosha can not be held responsible for any situation that arises which is out of our control with independent accommodation sites.
• Please read the terms and conditions and payment/ refund policies regarding your chosen accommodation so you are fully aware of all aspects. 

Noise disruption:

• In the unlikely event that at any time in any location we could experience noise disruption from any outside/external source. Santosha cannot be held responsible for this and will not give partial refunds or full refunds for this. Naturally, Santosha will do all in our power to ensure such noise is limited and restricted so as to minimise disruption to your experience.
• Santosha Yoga Institute Pty Ltd will not be held responsible for any issues relating to external issues relating to transport, transfers, ferries, bike hire, any tourist activity, any  lessons such as surfing or diving or other,  visas, accommodation or noise, meals, or any other component you have chosen to partake in. 

Student Participation Policy- all courses

• We reserve the right to remove a participant from the program if their behaviour is disruptive and non supportive for the group, or if they are a danger to themselves or others. 
• Incomplete or inaccurate information on the Student Agreement may also result in removal from the program. 
• In the event of removal any refunds of tuition will be at the sole discretion of Santosha Yoga Institute based upon the situation.  No refunds will be given for travel, meal packages or accommodation booked.
• Please read and sign the Student Agreement and the Health Policy prior to attendance. In order for you to participate in the Yoga Teacher Training, these forms must be signed electronically via Panda Doc prior to attending your course.
• For both in-person and online courses: a medical certificate will be required for participation in the course in the case of injury, significant health condition, if any student is undergoing counseling of any kind, or pregnancy. If you are currently pregnant or pregnant by the course commencement date, please contact Santosha prior to beginning training at [email protected].

I have read and understood the foregoing assumption of risk, and release of liability and I understand that by agreeing to the Terms and Conditions I am obligated to indemnify the parties named for any liability for injury or death of any person and damage to property caused by my negligent or intentional act or omission.

Santosha Yoga Institute Pty Ltd reserves the right to refuse or cancel any such orders whether or not the order has been confirmed and your credit card charged. If your credit card has already been charged for the purchase and your order is cancelled, Santosha Yoga Institute Pty Ltd shall issue a credit to your credit card account in the amount of the incorrect price.

Term; Termination

These terms and conditions are applicable to you upon your accessing the site and/or completing the registration or shopping process. These terms and conditions, or any part of them, may be terminated by Santosha Yoga Institute Pty Ltd without notice at any time, for any reason. Santosha Yoga Institute Pty Ltd may assign its rights and duties under this Agreement to any party at any time without notice to you.

Use of Site

Harassment in any manner or form on the site, including via e-mail, chat, or by use of obscene or abusive language, is strictly forbidden. Impersonation of others, including a Santosha Yoga Institute Pty Ltd or other licensed employee, host, or representative, as well as other members or visitors on the site is prohibited. You may not upload to, distribute, or otherwise publish through the site any content which is libellous, defamatory, obscene, threatening, invasive of privacy or publicity rights, abusive, illegal, or otherwise objectionable which may constitute or encourage a criminal offence, violate the rights of any party or which may otherwise give rise to liability or violate any law. Professional Indemnity Insurance

For our Aussie students, we can recommend purchasing your Professional indemnity insurance as a yoga teacher through our partner Fenton Green*. As previously noted this will only apply to graduates domiciled in Australia that have completed all the required 200hr training and/or 300hr training and graduated.
